Phase 4: Schedule Setup
Estimated Reading Time: 2 minutes
Applies to: All Plans
Quick Summary
Configure your operational calendar and add activities to your schedule. This phase ensures that the activities you created in the previous phase appear in your calendar and can be booked by clients.
Why This Matters
Activities define what services you offer, but group activities only become bookable once they are added to your calendar.
If group activities are not properly scheduled, clients will not see available sessions and will not be able to make bookings.
By configuring your schedule correctly, you ensure that clients can clearly see when sessions are available.
Main Goal
Phase 4 connects your activities to specific dates and time slots in your calendar.
Once activities are scheduled, they become visible in the calendar and clients can reserve a spot if they have the appropriate Membership or Credit Pack.
Each programmed session also respects the rules defined in the activity configuration, such as class capacity, booking windows, credit costs and cancellation rules.

Steps to success
7 - Configure Your Schedule: Add activities to your calendar and define when sessions take place.
Goal: This step focuses on setting business hours, scheduling activities, and organizing your operational calendar.
– How to set Business Hours and block off Holidays in the calendar
– How to add activities to your schedule to let customers book
– How to add your (or your team's - PRO) tasks in the schedule
Best Practice
Before you add your recurring schedule, make sure you add the holiday dates in the calendar first so the system ignores those dates when adding recurring activities.
Tips
Review your activity capacity settings to ensure the correct number of clients can book each session.
Common Questions
Why are my activities not visible to clients?
– Activities must be scheduled in the calendar before they become visible for booking. By default, a customer must also have the right product to book the activity unless you change this in your company settings (Phase 1 - Step 3).
Can I edit or move scheduled activities later?
– Yes, scheduled activities can be updated, rescheduled, or cancelled at any time.
