How to Set Up Group Classes in Trainin (Create Group Activities)
Estimated Reading Time: 4 minutes
Applies to: All

Group Activities allow multiple clients to book the same session, making them ideal for group classes, bootcamps, yoga & reformer pilates sessions, workshops, or courses.

Once the activity is created, you can schedule sessions in your calendar so clients can book through your Trainin app, website, or Trainin web portal.

Why This Matters

Group Activities help you manage and scale your schedule efficiently by allowing multiple participants to join a single session.

By configuring booking rules, group size, trainers, and locations, you can automate bookings, keep your schedule organized, and maximize both class capacity and revenue.

Step by Step Instructions

Step 1: Start creating a new activity: My Company > Activities > New Activity
 – This opens the activity creation window where you can configure the type of session you want to offer.

Step 2: Select the group activity type: Activity Type > Group
 – Group activities allow multiple clients to book the same session and are commonly used for classes, group training, workshops, or events.

Step 3: Enter the basic activity details: Name, Description, Duration, and Group Size
 – These details define what the activity is and how long the session lasts, as well as how many participants can join each session.

Step 4: Configure additional activity options: More Options
 – Here you can add extra information, such as email instructions for participants, or configure whether the activity should be offered as an online session.

Step 5: Assign trainers to the activity: Trainers
 – Select which trainers can host this activity so they can be scheduled for upcoming sessions (available for Pro & Premium).

Step 6: Define where the activity takes place: Locations
 – Choose the location where the activity will normally take place and assign additional locations if needed.

Step 7: Configure booking settings and rules: Booking Settings
Set how clients can book the activity, such as:
 – Credits per booking (the cost of the class)
 – Direct booking or request-based booking
 – Cancellation policy (how flexible it is and whether a credit is returned)
 – Waiting list options
 – Minimum group size (automatically cancel the class if the minimum bookings are not reached)

Step 8: Connect products that allow booking: Products
 – Link the Memberships, Credit Packs, or products that clients must have in order to book this activity.

Step 9: Save the activity and schedule sessions: Calendar
 – After creating the activity, schedule sessions in the calendar so clients can see and book the group classes through the app or booking portal.

Pro tips

  • Create one activity per class type (for example: Yoga, Bootcamp, or HIIT) and then schedule multiple sessions of that activity at different times in the calendar.

  • This keeps your schedule organized and allows you to easily adjust booking settings without needing to recreate activities.

  • Set a maximum group size and enable the waiting list so cancelled spots can automatically be filled without manual management.

Common Questions

What is the difference between a Group Activity and a Private Activity?
– A Group Activity allows multiple clients to join the same session, while a Private Activity allows only one client (or booking party) to reserve a time slot.

How does the waiting list work?
– The Waiting List allows clients to register for a fully booked activity and get a chance to join if a spot becomes available. It works in order of registration, so the first person on the waiting list will automatically be added when a spot opens.

Do I need to create sessions after creating the activity?
– Yes, after creating the activity you must schedule sessions in the calendar so clients can see the time of activities and book them.
