Quick Summary

Family Accounts allow one person to manage multiple family members under a single account.

This is useful when a parent wants to book classes, purchase a Membership, or buy a Credit Pack for their children without creating separate login accounts.

It can also be useful for couples or partners who want purchases and Direct Debit payments to be managed from a single account.

Why This Matters

Family Accounts simplify bookings for families. Instead of creating separate accounts for each family member, one main account holder can manage bookings and purchases for multiple people. This reduces administrative work and makes it easier for families to participate in your activities.

Step by Step Instructions

Step 1: Client adds a family member: Clients > Click on a profile > + Add family members
– The main account holder can add a family member by entering their name and relevant details.

Step 2: Assign or purchase a product for the correct family member: Customer Profile > Products / Memberships
– A Membership, Credit Pack, or other Product can be assigned directly to the specific family member. The main account holder can also purchase a product and assign it to a family member. It is important that the product is linked to the correct family member, because bookings can only be made for the family member who owns the product.

Step 3: Book activities for a family member: Schedule > Select Activity > Choose Family Member
– When making a booking, the client selects which family member will participate in the activity. The system will use the Credits or Membership assigned to that specific family member.

Best Practice

Use Family Accounts when clients often book for children or other dependents.

This setup also works well for couples who want to manage bookings and payments from one account while still registering activities for different participants.

Pro Tips

  • Assign the Membership or Credit Pack to the correct family member before making a booking. Bookings can only use the products linked to that specific profile.

  • If multiple family members participate in Activities, make sure each person has the correct product assigned to avoid booking errors.

Common Questions

Can family members have their own bookings and credits?
– Yes. Each family member can have their own bookings and can use Credits or a Membership linked to their profile.

Can family members share one product?
– No, each product is linked to one individual and cannot be (automatically) shared between family members.

Why can’t I see the option to add a family member to a client profile?

– The Family Accounts feature must first be enabled in the platform settings. If it is disabled, the Add family member option will not appear in the client profile. You also need a PRO account or higher to use this feature.
