How to change Product Validity or end an assigned Product

Quick Summary

For products that are already assigned, you can adjust the validity of a credit pack or end a Membership from the client’s profile. This allows you to extend the validity for Credit Packs or Single Sessions even if they are already expired or you can easily manage Membership cancellations when a client’s situation changes.

Why This Matters

Sometimes clients need flexibility. For example, you may want to extend the validity of a Credit Pack due to illness or holidays, or end a Membership (ahead of time) when a client wants to stop their membership. Managing these changes correctly ensures that client access, bookings, and payments remain accurate.

Step by Step Instructions

Part 1: Extending the Validity of a Credit Pack or Single Session

You can extend the validity of a Credit pack (or a single session) even if the Client Product is already expired.

Step 1: Search for the client in question via the ‘clients’ tab. Open the client profile by clicking on it Clients > Client Profile

Step 2: Open the (client) products tab: Client Profile > Products
 – This section shows all Products assigned to this client, including Single Sessions, Credit Packs and Memberships.

Step 3: Open the product by clicking on it or use the 3 dots on the right. Now you can Select ‘edit valid until’ and change the date to the desired expiration date to extend its validity. 

Step 5: Choose if you want to notify the client and save the new validity date 
– Confirm the updated validity period so the client can continue using the Credit Pack.

Important: If you change the validity of a Credit Pack in the My Company > Products module, the change will only apply to newly purchased Credit Packs. Existing Credit Packs must be updated through the client profile.

Part 2: Ending a Membership

Once a membership with a ‘fixed term’ is created (i.e. 12 months and it does not automatically renew) it is not possible to extend this product, you will have to assign a new one. You can only end a Membership, also ahead of time, from the client profile and choose how the cancellation should be handled.

Step 1: Search for the client in question via the ‘clients’ tab. Open the client profile by clicking on it Clients > Client Profile

Step 2: Open the (client) products tab: Client Profile > Products
 – This section shows all Products assigned to this client, including Single Sessions, Credit Packs and Memberships.

Step 3: Open the product options by clicking on it or use the 3 dots on the right. Now you see a variety of options. Click on ‘end’. 

Step 4: Now you see two options. You can end the Membership on a date in the future ‘End date’ or you can end the membership directly. Choose which option you want and choose if you want to ‘cancel all bookings after the end date’ if you will assign a new product later you may want to uncheck this option as you can re-pay the bookings with the new product. Click ‘yes end membership’ or ‘yes terminate directly’. 

In summary these are your options: 
 – You can choose a date based on the contract duration and cancellation notice period
 – By manually selecting an end date somewhere into the future
 – By ending the Membership immediately

After setting the end date, any scheduled payments after the end date will automatically be removed. It’s always wise to double check these payments and remove any unwanted future payments. 

When ending the product, you can also choose whether future bookings should be cancelled or reopened. If bookings are reopened, you can confirm them again using Credits from another Product, such as another Membership or a Credit Pack.

Best Practice

  • Always communicate Membership cancellations and Credit Pack extensions clearly to clients. 

  • If a Membership ends while bookings are scheduled, review those bookings to ensure clients still have valid Credits to attend.

Common Questions

Can I extend an expired Credit Pack?
 – Yes. You can update the validity date even if the Credit Pack has already expired.

Will changing the validity in the Products module affect existing Credit Packs?
 – No. Changes made in My Company > Products only apply to newly purchased Credit Packs or Memberships.

What happens to scheduled payments when a Membership ends?
 – Any payments scheduled after the Membership end date are automatically removed.

What happens to existing bookings when a Membership is cancelled?
 – You can choose whether bookings are cancelled or reopened so they can be confirmed with Credits from another Product.
