Your Schedule is where clients discover and book your Activities. When details change (such as time, location, or instructor) updating the Schedule ensures your availability remains accurate.

Properly managing these updates prevents double bookings, missed sessions, and confusion for your clients.

Step by Step Instructions

Step 1: Open your Schedule: Schedule > Calendar
– Locate the Activity you want to modify in your Schedule calendar view.

Step 2: Edit a single Activity session: Schedule > Calendar > Select Activity > Edit > Edit Session
– Use this option when you need to update only one session, such as changing the time, instructor, or capacity.

Step 3: Edit an entire recurring Activity series: Schedule > Calendar > Select Activity > Edit Series
– Choose this option when you want to modify all sessions in the series, such as updating the Activity name, recurring day, instructor, location or even add an end date to the series.

Step 4: Cancel an entire Activity: Schedule > Calendar > Select Activity > Cancel
– You can cancel that session or check the box to cancel all the sessions in the series. 

Best Practice

Before saving any changes, confirm whether the update should apply to a single session or the entire recurring series. This helps prevent unintended changes to multiple Activities.

  • Use recurring series for weekly Activities to avoid manually scheduling each session.
    If only one session changes, always edit the individual Activity instead of the full series.

  • Review your Schedule after making updates to ensure the sessions appear correctly for clients.

Can I change only one session in a recurring Activity series?
– Yes. Editing a single Activity allows you to update that specific session without affecting the rest of the series.

What happens if I cancel a series?
– All upcoming Activities in that series will be cancelled in the Schedule.

What happens if there are bookings in a class that I cancel or change?

– If you edit or move a class, all booked clients will automatically move with that class and keep their booking.

– If the class is cancelled, any client who paid with Credits will automatically receive their Credits back.

Can I change the location of an Activity after it has been scheduled?
– Yes. You can update the location or room through the Activity series settings.

Do clients see schedule updates immediately?
– Yes. Once the changes are saved, the updated information appears immediately in the client app.
