Phase 5: Client Setup
Estimated Reading Time: 2 minutes
Applies to: All Plans
Quick Summary
Prepare your current clients to use the Trainin platform by adding them to the system and organizing their information. This phase ensures your existing clients are ready to access the platform and start booking sessions.
Why This Matters
Clients must exist in the platform before they can purchase products, receive credits, or book activities.
By adding or importing your clients in advance, you ensure a smooth transition to Trainin and allow your community to start using the booking system immediately once you go live.
*Please note that even if you are a new business without an existing client database, this phase still includes important steps for setting up your portal correctly.
Main Goal
Phase 5 connects your existing clients to your Trainin platform.
In this phase, you create or import client profiles so they can access their accounts, purchase products, and book activities through your schedule when you go live.
You can also organize clients into groups or configure family accounts or employer payments to simplify account management.
Note: If you have a large number of customers and need importing services, please contact us via support@trainin.com.

Best Practice & Practical information
Inform your existing clients a few weeks in advance that you will be switching to a new booking system. Let them know to expect a welcome email with their login details when you go live.
Be aware that if you add clients manually, they may receive the welcome email immediately. If you prefer to wait until you have fully tested your system (Phase 6) before you manually add customers.
If you use our import service, we will help you schedule the welcome email so all clients receive it at the same time.
Tips
Verify client email addresses before sending welcome emails to avoid activation or login issues.
Organize your clients into groups if you plan to send segmented communication or news letters via marketing (PRO & Premium).
Common Questions
Do clients need to create their own accounts?
– Clients can create their own account via the login page of the app, by purchasing a product through your webpage, or via a direct product link. You can also create profiles for them manually so they are already onboarded and do not need to take extra steps before booking.
Can clients manage multiple accounts?
– Yes. With family accounts, one user can manage bookings and purchases for other users.
